Way To Nomads – Travel Booking Terms & Conditions
By confirming a trip with Way To Nomads, you agree to the terms below. These terms are designed to be clear, fair, and aligned with the nature of our small-group tours operating in remote regions of Mongolia.

Booking & Payments
To confirm your place, please submit a completed booking form together with a deposit of 30% of the total tour cost per person.
For special annual departures with limited availability, including Naadam Festival Tour, Eagle Hunters Festival Tour, and Lunar New Year Tour, a higher deposit of up to 50% may be required due to advance commitments and high demand.
Your booking is confirmed once we receive the deposit and issue written confirmation.
The remaining balance is due 8 weeks (56 days) prior to departure. For bookings made within 8 weeks of departure, full payment is required at the time of booking.
If payment is not received by the due date, we reserve the right to treat the booking as cancelled and apply cancellation terms.
Payments may be made via bank transfer or Visa or MasterCard. Any transaction or international bank fees are the responsibility of the sender.

Small-Group Departures
Scheduled tours operate with a minimum of 4 participants and a maximum group size as stated in the itinerary.
If minimum numbers are not reached, we reserve the right to:
– Offer the tour as a private departure at an adjusted rate
– Offer an alternative departure date
– Cancel the departure and refund payments made to us in full
We are not responsible for any additional expenses incurred outside the tour price, including international flights, visas, insurance, or other personal travel arrangements.

Cancellations by You
All cancellations must be made in writing. The effective date of cancellation is the date we receive your written notice.
If you cancel more than 56 days before departure, your deposit will be refunded, excluding any unrecoverable costs already incurred on your behalf, such as domestic flights, permits, special event arrangements, or pre-paid services.
For cancellations made within 56 days of departure, the following charges apply:
- 43–56 days before departure: 30% of total tour cost
- 29–42 days before departure: 40% of total tour cost
- 21–28 days before departure: 75% of total tour cost
- Less than 21 days before departure or no-show: 100% of total tour cost
Due to the small-group nature of our tours and advance logistical commitments in remote areas, cancellations made within 21 days are non-refundable.
Comprehensive travel insurance covering cancellation, medical expenses, evacuation, and trip interruption is mandatory.

Changes by You
Requests for changes must be made in writing. We will make reasonable efforts to accommodate requests but cannot guarantee availability. Additional supplier costs resulting from changes will be passed on to you.
Participant substitutions may be accepted up to 14 days before departure, subject to an amendment fee and any third-party charges.

Changes or Cancellations by Us
We reserve the right to adjust itineraries where necessary due to safety considerations, weather conditions, road access, local authority regulations, operational requirements, or other circumstances beyond our reasonable control.
Minor adjustments do not entitle compensation.
If a significant change occurs before departure, you may choose to:
– Accept the revised arrangements
– Transfer to another tour of equal value
– Cancel and receive a refund of payments made to us

Domestic Flights & Local Transport
Some itineraries include domestic flights within Mongolia. Local airline schedules are subject to change, delay, or cancellation, particularly during peak travel seasons.
Way To Nomads has no control over airline operational decisions, schedule changes, or weather-related disruptions. In the event of delays or cancellations, we will make reasonable efforts to adjust arrangements where possible.
Any additional costs arising from airline disruptions may be payable by the traveler unless covered by the airline or travel insurance.
We are not liable for losses resulting from airline schedule changes, including missed international connections or additional expenses.

Remote Travel & Inherent Risks
Safety is our priority, and we take reasonable measures to minimize risks through careful planning, experienced guides, vehicle maintenance, and appropriate equipment.
Our tours operate in remote and off-road regions where infrastructure may be limited and conditions can be unpredictable. Mechanical issues, transport delays, weather disruptions, or route changes may occasionally occur.
Some tours include activities such as horseback riding, camel riding, hiking, and travel across uneven terrain. These activities involve inherent risks, including falls, animal-related incidents, environmental exposure, and limited access to immediate medical facilities.
In the event of vehicle breakdowns or unexpected delays, we will arrange assistance as soon as reasonably possible. However, delays in remote areas may occur.
By participating, you acknowledge and accept the nature of remote travel and adventure activities. Participation is voluntary and at your own risk.
Way To Nomads, its guides, and partners cannot be held liable for injury, illness, accident, delay, or loss arising from such activities or transport conditions, except where caused by proven negligence.
We strongly recommend scheduling international departure flights with adequate buffer time following the tour and ensuring comprehensive travel insurance coverage.

Your Responsibilities
Participants must behave respectfully toward fellow travelers, guides, and local communities. We reserve the right to remove any participant whose conduct endangers the group, without refund.
You are responsible for valid travel documents, appropriate insurance, disclosure of relevant medical conditions, and personal belongings.

Itinerary Flexibility
Due to the nature of travel in Mongolia, flexibility is essential. Weather, road conditions, and local circumstances may require adjustments. We will always aim to preserve the overall quality and spirit of the experience.
No refunds will be issued for unused services once the tour has commenced.

Legal
These terms are governed by the laws of Mongolia, and any disputes shall be subject to the exclusive jurisdiction of Mongolian courts. Any formal claims must be submitted in writing within 21 days of tour completion.
